Coordinating one of the largest EU events each year.

Thecontext

One of the largest yearly events hosted by the European Commission and the Committee of the Regions is the European Week of Regions and Cities – known as Open Days. A range of communication and event coordination experts from ICF Mostra have contributed to this key event since 2011. ICF Mostra coordinated the entire 4-day edition of Open Days 2015 which welcomed more than 6,000 participants and 130 journalists to Brussels.

ICF Mostra coordinated the entire 4-day edition of Open Days 2015 which welcomed more than 6,000 participants and 130 journalists to Brussels.

ICF Mostra certainly was and provided teams of event managers, media relations officers and stakeholder managers, social media specialists, technicians, hostesses and show directors to facilitate Open Days from A to Z.
The Directorate-General for Regional and Urban Policy entrusted ICF Mostra to arrange the 4-day event, composed of Open Days, Urban Days and the REGIOStars Award Ceremony. We partnered with Destrée Organisation to manage the enormous task of making Open Days an event not-to-be-missed.

We coordinated the logistics of hosting in six different venues and advised our clients on the programme structure so that attendees could make the most of the 100+ workshops, debates and networking opportunities related to a range of topics on growth and jobs, EU Cohesion Policy, and Regional Policy.
Our media and social media management activities included inviting 130 journalists from our extensive network across Europe to attend and report on Open Days (including by setting up interviews with key participants) and preparing Tweets and Facebook posts for EU officials during the events.
To attract public attention in the months preceding Open Days – and more specifically to the REGIOStars Awards Ceremony – a photo competition was launched on Facebook to make EU citizens more aware of the regional funding EU-funded projects close to home. An app was created by ICF Mostra as a submission platform, to which more than 500 people uploaded photos for evaluation.

Open Days has become an important European networking event for experts in regional and local development, as well as a leading opportunity for journalists to gather info on EU-funded projects across Europe – thanks in part to its successful and smooth coordination.
Open Days coverage generated about 350 reports across Europe – nearly 90% of which were produced by funded journalists. Our press packs and options to get exclusive interviews proved popular: nearly 40% of coverage mentioned VIPs from the Commission and Committee of the Regions.   
We strive to make Open Days one of the leading EU events in terms of innovation (development of applications, platforms, etc.), management (based on the number of participants and venue locations all over Brussels), and networking. In 2016, ICF Mostra will once again organise the event – but it now goes by the name of ‘European Week of Regions and Cities’.
